Student Safety & EP Conduct Policy
Togetherhood is committed to providing a safe and respectful environment for every student. All adults in our program spaces must meet our safety standards, follow our conduct rules, and comply with required clearance procedures to ensure student well-being at all times.
1. Definitions

Togetherhood Personnel – All employees, contractors, Enrichment Providers, and volunteers engaged by Togetherhood to deliver or support programming.

Non-School-Provided Adult – Any adult present in a Togetherhood program space who is not employed, contracted, or otherwise provided by the host school.

Program Space – Any classroom, facility, or location where Togetherhood delivers programming, whether on school premises or at an off-site location.

Enrichment Provider (EP) – Any individual engaged by Togetherhood to lead or support program activities.
2. Purpose and Commitment
Togetherhood is committed to providing a safe, respectful, and supportive learning environment for all students in its programs. This policy outlines the safety expectations and requirements for all personnel, contractors, and visitors involved in Togetherhood activities. Togetherhood operates in compliance with applicable laws, school agreements, and recognized best practices in student safety.
3. Scope
This policy applies to all Togetherhood programs and activities, regardless of whether they take place on school premises or at off-site locations. It is binding on all Togetherhood staff, contractors, volunteers, enrichment providers, and any other adults present in Togetherhood program spaces.
4. Supervision Requirements

Students must never be left unsupervised at any time while participating in Togetherhood programs.

In all circumstances, including emergencies, students must remain in the presence of an approved supervising adult.

Only Togetherhood personnel or school-approved staff may assume supervisory responsibility for students.
5. Background Checks & Clearance

All non-school-provided adults who will have direct or ongoing contact with students in a Togetherhood program space must successfully complete a background check conducted by Togetherhood.

Background checks are required prior to any entry into a Togetherhood program space and are conducted on a one-time basis unless otherwise required by law or contractual agreement.

No adult may participate in Togetherhood programming until clearance has been confirmed in writing by Togetherhood.
6. Code of Conduct for Adults
All adults in Togetherhood program spaces are expected to:

Maintain professional boundaries at all times, including avoiding one-on-one isolated interactions without visibility.

Refrain from physical contact with students unless necessary for safety or demonstration. In the latter instance, Enrichment Providers are expected to request and receive explicit consent from the student.
- Maintain a neutral and inclusive environment by avoiding discussions of personal political, religious, or ideologically sensitive views.

Ensure that any photographs of students or their work do not contain identifying features.

Limit personal phone use while in program spaces.

Use appropriate, respectful, and professional language and behavior at all times.
7. Incident Reporting & Response

Any Togetherhood personnel who suspect abuse, neglect, or other safety concerns must complete Togetherhood’s Incident Report Form as soon as possible.

Enrichment providers are encouraged to also notify Togetherhood via email at info@togetherhood.us.

All incidents involving accidents, injuries, or misconduct must be reported promptly. In an emergency setting, Enrichment Providers are expected to text the Togetherhood number: (347) 835-5830.
8. Non-Compliance & Consequences

Any violation of this policy may result in immediate removal from the program space.

Depending on the nature and severity of the violation, Togetherhood may also terminate the individual’s engagement and/or restrict future access to our programs.

Togetherhood reserves the right to take any additional action necessary to protect student safety.
